                Our Process

                BDQ's Accelerated Implementation Methodology (AIM) is an Agile, transparent method of delivering changes for our clients.

                We use AIM for projects such as implementing ITSM Service Desks with Jira Service Management, Atlassian Cloud implementations and migrations, Agile Transformations with Jira Software, or improving collaboration with Confluence.

                We DISCOVER what's needed, jointly PLAN how the project is to be delivered and then EXECUTE the plan, iterating through prototypes until the solution is finalised. DEPLOYMENT includes training and implementation. We then we look to ENHANCE the solution, to ensure you are getting the most from your investment. We go in to more detail below.

                 

                Discovery

                This is where it all starts. After receiving your enquiry, the first step is an initial call or teams meeting. We are happy to hold multiple meetings depending on your needs, (different teams at different stages, users, managers, etc).

                Outcomes & pain points

                Where are you now and where would you like to be? What do you, the client, want to get out of this engagement and how can we get you there? What processes are causing you pain or feel inefficient to you? Is additional reporting needed, e.g. for Management oversight? Which tools are you currently using?

                Demo

                Either during the initial call or a subsequent one, our certified experts show you the software products we can offer. This is a general overview of the products and their out-of-the-box functionality, just to give you a sense of what they can do and how they might help ease those pain points and meet your needs.

                Engagement decision

                We may now be in a position to create a formal proposal for you to review and call-off, both to purchase the software you need and for an implementation project. Further discussions and refinements might be needed.

                Alternatively, if there are still a large number of unknowns, a separate Discovery exercise might be needed to establish the full scope and costs of your project.

                Once you've decided that we are the right fit for you -
                it’s time to make a plan.

                 

                Plan

                Thanks to our combined efforts in the “Discover” stage, the information we’ve gleaned from you and which engagement option you’ve chosen, we can lay out your path to where you want to be.

                Tailored demo

                This will be a much more detailed and bespoke demo of the product or solution options you expressed an interest in. We will provide you with specific examples of how these products/solution can address the pain points established in our initial meeting(s).

                Design workshop

                We meet with you and your team(s) and drill down in to each aspect of the engagement in order to fully identify what is required for each process that we’ve discussed.

                Joint plan of action

                Collaboratively, we establish the steps towards your desired outcomes. Using the same software products we’ll be implementing for you (e.g. Jira Software), we create a new, shared instance in which we can jointly plan and track the project with full transparency. We can use this to assign activities between us, and you can see the status of the project at-a-glance at all times.

                Now that we have an agreed plan in place -
                it’s time to execute that plan.

                 

                Execute

                The word of the day here is “Iterative”. No client has ever come to us and said “I'd prefer more upfront analysis documentation, rather than seeing an early prototype”. Client and BDQ time and effort (and so cost) is not wasted on documenting or testing proposed solutions until we have established they meet your needs. This process often flushes out hidden requirements, such as the need for review or approval steps in the processes being implemented.

                The work is typically completed in a separate environment, such as a free instance or a clone of your live environment, as appropriate.

                Prototype

                We will configure the software products so that they provide a potential solution to your requirements. Typically, we aim to use built-in functionality, so that the products stay as close to out-of-the-box as possible, minimising customisation effort, testing and training time.

                Demo

                The proposed configurations are then demonstrated so that you can establish how they meet your needs, giving you the earliest sight possible of a potential solution. We seek your feedback and invite exploration of the solution, prompting any how-to questions and eliciting any hidden requirements. We may demo multiple potential solutions, if there are choices to be made. The demo may determine that another iteration is needed, and we can skip straight to Review, below.

                Review

                What works well, what doesn't, can improvements be made and most importantly are you - the Client - happy. If the response is positive, and testing did not leave any issues unresolved, the “Execute” stage is finished and we go on to the next step.

                 

                Test

                Now you’ve signed off on our work, and we are confident we’re ready, it’s time to test the new functionality to ensure it behaves as expected.

                Quality Assurance (QA)

                Before investing more time, we make sure the changes/additions that we’ve made so far are complete, fit for purpose, and that they are ready for testing.

                This process goes around as many times as it takes to get the products/solutions right. Once everything has been tested and reviewed, it's time to deploy those changes.

                 

                Deploy

                Once all of the new or changed functionality has been reviewed and agreed, your Project/Solution is ready for deployment.

                Establish Conventions

                We work with you to make sure that you, your team(s) and the users within fully understand the changes we’ve made, how and when they should be used and how they integrate into your processes.

                Training & Drop-In Sessions

                We can provide comprehensive guidance and training for all the improvements made during our engagement. Following implementation, drop-in sessions (where your team members can attend if they wish, and ask whatever questions they may have) can be held, to make sure you get the best use of the new functionality - and the best return on your investment.

                Implementation

                All of the changes we’ve made can finally go live. We’ll agree roll-out, fall-back and communications plans. Implementations can be conducted out-of-hours (by arrangement) if required, to reduce the impact on live operations.

                Your new software product(s) / solution(s) are live and your team(s) have been shown how to use them, but it doesn’t have to end there. Even though we've given you the best service - there are always ways to enhance.

                 

                Enhance

                It’s natural that after “Implementation” and a period of use, you may have questions, comments, new requirements, etc, that you would like help with. We have several options available to you for ongoing support and continuous improvement.

                Additional Reporting

                One of the most requested enhancements is to modify existing or provide further management information. Knowing what those reports might consist of takes time, so once you know what you want, we can help you set that up.

                Further Automation

                Another popular request is further automation. You may find that some processes are still too time consuming, or require too much manual effort that could be better used elsewhere. Again, we can help once you know where these issues are.

                And of course, you should never stop learning. Maybe you want to shore up your existing knowledge base or maybe new features are released that you want to use: we are here to help you stay up-to-date.
